Long Crendon Film Club respects your privacy and is committed to protecting your personal data as a member of the Film Club.  This privacy notice will inform you how we look after your personal data and tell you about your privacy rights.

1. Important information
Long Crendon Film Club is part of Long Crendon Community Library, referred to as the “Film Club”, "we", "us" or "our" in this privacy notice.  The Film Club is the data controller responsible for your personal data and for the website (www.longcrendonfilmclub.com).
Please keep us informed if your personal data changes while you are a member of the Film Club.  
Film Club membership is open to members of the public aged 18 or over.  We do not knowingly collect data relating to children.
The Film Club website may include links to third-party websites (eg TicketSource for online ticket bookings).  Clicking on those links may allow third parties to collect or share data about you.  We do not control these third-party websites and are not responsible for their privacy statements.

2. The data we collect about you, its security and retention
We collect, process and store the following personal data about you as a member of the Film Club:
  • name, home address, email address and telephone numbers 
  • membership category (single/couple and over/under 65) 
  • Gift Aid election 
  • details of film tickets you have purchased from us 
  • your communication preferences in relation to our regular email updates 
  • your willingness to help at film screenings, or in other ways.
We do not collect any special categories of personal data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data), nor any information about criminal convictions and offences.
We will never share your personal data with anyone other than those Film Club volunteers who need to collect, process and store your personal data in accordance with this privacy policy.

Your data is kept securely for up to six years after the end of the Film Club’s financial year, to enable us to comply with our legal obligation to retain necessary data for tax purposes.
 
3. How we use your personal data
We will use your personal data as follows (on the lawful basis stated in brackets): 
  • to process your membership and ticket purchase applications, to issue you with a membership card and film tickets and to communicate with you in connection therewith (performance of contract) 
  • to process Gift Aid claims where appropriate, in which case your data will be shared with HMRC (to comply with a legal obligation) 
  • to send you regular updates by email about Film Club screenings (necessary for the legitimate interests of the Film Club).  All such emails will contain a statement that you may opt out of receiving them by replying accordingly to the message or by contacting the Membership Secretary (contact details below). 
  • to communicate with you about helping with refreshments at film screenings, or in other ways (necessary for the legitimate interests of the Film Club).

4. Your legal rights
You have certain rights under data protection laws to:
  • request access to your personal data 
  • request correction of your personal data 
  • request erasure of your personal data 
  • object to processing of your personal data.
You have the right to make a complaint at any time to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk).  We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.
